Working on an event in Denmark, I've heard there are visa issues??

We have been asked by a client to produce a 3 day event in Copenhagen, trucking our own kit over from the UK. I mentioned it to a freelancer who had heard that it can be a head-scratching VISA nightmare as we are non EU. Can anyone throw any light on this please??

Thanks in advance

This is the closest to any information I've previously been able to dig out.

Looks to be a work permit that is required rather than a work visa.

As always, please do your own research to confirm what is needed for your particular situation.

It is a nightmare as each country inside the EU/EEA has different rules, especially around event work. Spain for example welcomes event workers with open arms, whilst Germany can be hit and miss 🤷‍♂️. Berlin Air Show, I went straight through, whilst the two carpenters behind me got turned away.

The person(or entity) responsible for the performance needs to check all the paperwork so that the Danish Authorities understand that it's a show performing in Denmark for days (However many plus set strike and both journeys)

If you each you all do your own the Danes could simply not want backstage crew in Denmark looking for work.

Whoever is in charge in the UK needs to talk to the Danish Embassy (Sloane St SW1) and hopefully get everyone in by one application AND get all the touring set tools properties etc etc through on a carnet rather than an Import permit.

If no-one has ever done visas and carnet before maybe find and pay and agency that handles touring shows.  Plan to bring everything back to it's starting position so that there will be nothing expensively imported into Denmark inadvertently.

Check that you are booked direct to a Danish port, otherwise expect the same paperwork performance to repeat going via Germany or elsewhere.

Some countries will want absolutely everything listed in 100% full detail some places will simply expect "tool kit" and whatever it contains, find out what the Danes want BEFORE you apply.

Yeah... although from the sound of it, its not a "touring show", rather a corporate job.

I had the same queries regarding the Berlin Air Show, went to a UK company that supposedly "specialise in visa/permit/etc for events/shows/etc in EU/worldwide" and they told me they needed £1500 per person for visas. Turns out we didn't need a visa at all, as we were covered under the visa waiver scheme because of the country of origin of the company directly employing us. Which therefore didn't contravene taking "local jobs from local people"

Its a minefield.

As above, with Denmark, results/requirements may vary.

It often takes a lot of digging to find out what is and isn't relevant.

Have you actually spoken to the Danish Embassy in London? They are the only people who can deal with this for you.

A formal hard copy letter of invitation (or contract) from a Danish business to do this visit could be the only evidence of a need for a whole group to travel together.

ALL government departments like a paper trail, show them all the papers -it makes their life easier which makes your life easier. Can you be sure that none of the party are dependent on substances that the Danes may not approve of?

Another way of looking at the job would be to use a Danish supplier and you manage the job. Hopefully if the local technicians and kit are more expensive that would be cancelled out by a lack of trucking, accommodation and reduced paperwork/admin. I've worked this way in Germany, Italy and Spain and it has worked out OK. Then you enter the country with a laptop and ' What is the purpose of your visit sir?' ...'I'm attending a conference.' 'Welcome to Denmark sir.'

It is well worth looking whether that model would work for you.
